Dena Hemma, my office manager, has worked with me for many years. She started working part-time for a Hematology-Oncology practice in 1983 manually sorting, reviewing and submitting approximately 500 paper claims on a weekly basis to various insurance carriers while working full-time for Fairfax County. In December 1987, she was asked to come and work full-time for the Hematology-Oncology practice. So began her full-time career in the medical field. Dena is a hands-on person, if she does not know about a procedure she will watch how the procedure is performed then research the billing aspects of the proper coding to insure a clean insurance claim to your insurance carrier.
While she understands patient’s hatred of completing paperwork for their physicians it is a necessity. Her philosophy is “garbage in – garbage out”. If you do not put the right information in, then the physician does not get reimbursed for the medical care given. Since she is well versed in the many areas of medical billing and how a medical practice should be managed, she has a hard-time with patient reluctance to give his/her proper information when completing our patient registration form. With electronic claim submission for most insurance carriers, her largest rejections are for insurance terminated as of date of service, incorrect policy numbers, policyholders proper name and zip codes. After an internal audit, if these errors are not internal, then the patient is responsible for payment of the services rendered.
Pre-existing conditions are another large rejection of insurance reimbursement to physicians. Patient’s who change insurance plans and do not submit a Certificate of Insurability from their previous insurance carrier is a primary reason for denial of reimbursement. Denial of payment for pre-existing becomes the patient’s responsibility to deal with their insurance carrier.
Dena is very willing to assist patients with insurance issues and any other questions you may have. However because of her multiple functions for my practice (hat wearing as she calls it) she is not always available for an immediate answer to your inquiry. Therefore, when calling the office she requests that you leave a message to include your account number located on the right side, upper mid-section of the statement, your name, telephone number and a brief summary of what is needed. Email is an option as well.
